Receptionist/Human Resource Assistant

The Receptionist/Human Resources Assistant serves as the primary point of contact for Arkansas Support Network, providing exceptional customer service to potential employees, current employees, and the community. This role provides critical administrative support to the HR Department and the broader agency, ensuring efficient daily operations while maintaining a welcoming and professional environment that aligns with the organization's mission and values.

Key Responsibilities:

Front Office & Communication Management:

  • Open and secure the building promptly at the start and end of business hours (8:00 AM - 5:00 PM daily), ensuring phone lines are operational.
  • Warmly greet all individuals (individuals supported, employees, and visitors) in a welcoming, helpful, and professional manner, always projecting a positive image of Arkansas Support Network.
  • Answer and direct incoming calls courteously and efficiently, referring callers to the appropriate person or department, and accurately recording messages
  • Process and respond to customer communications within the LiveAgent platform.
  • Maintain and distribute an updated internal directory of phone extensions to all office staff and for agency files.
  • Ensure the lobby, reception area, copiers, and coffee service areas are consistently neat, organized, and functional.
  • Obtain general knowledge of the various services provided by Arkansas Support Network.

Administrative & Executive Support:

  • Handle and distribute all incoming sensitive materials, including mail and faxes, to the appropriate recipients while maintaining strict confidentiality.
  • Produce and submit monthly meter reports from the postage machine
  • Coordinate office supply ordering for the main office and all satellite locations, ensuring adequate inventory and timely distribution.
  • Communicate with suppliers for regular office needs (e.g., coffee, paper towels, bottled water) and schedule technicians or repair services as requested by HR Personnel.

Human Resources Support:

  • Assist with various HR functions, including but not limited to recruitment, onboarding, and employee relations.
  • Support the HR team with diverse tasks and projects as requested
  • Manage the scheduling and availability of all meeting and training rooms.

Knowledge, Skills, and Abilities Required:

  • High School Diploma or equivalent required.
  • Ability to communicate effectively in both English and Spanish, preferred.
  • Minimum of 2 years of experience in a professional office environment, preferably in a receptionist, administrative assistant, or HR support role.
  • Prior experience working with individuals with disabilities.
  • Proficiency in Google Workspace (Gmail, Google Drive, Google Docs, etc).
  • Strong organizational skills and exceptional attention to detail, particularly in handling sensitive information and managing high-volume tasks.
  • Excellent verbal and written communication skills, with a courteous and professional demeanor.
  • Demonstrated ability to provide quality customer service to diverse individuals.
  • Ability to work independently, manage multiple priorities, and adapt to changing needs.
  • Familiarity with computer platforms (e.g., Basecamp, Datis, LiveAgent, Setworks) is highly desirable.
  • Commitment to maintaining the highest level of confidentiality.

Work Schedule: Full-time 40-hour/Weekly | Monday-Friday 8:00 AM - 5:00 PM 
Occasional evening hours may be required to support organizational needs.
